Reading related-party signals in supplier onboarding

Practical ownership and declaration checks before a high-spend vendor joins your approved list.

Supplier questionnaires catch what vendors are willing to disclose. Related-party risk often hides in what they omit — shared addresses with staff, directors who appear in your gift register, or sudden incorporation timed to a tender.

Checks that stay proportionate

For Hong Kong entities, start with company registry extracts and director lists. Cross-check against employee conflict declarations and any hospitality logs for the last twelve months. For renewals, add a payment history sample to see whether invoices bypassed the category owner.

What diligence cannot claim

A clean memo is not a guarantee of future conduct. It is a dated statement that known public and internal records did not show disqualifying conflicts at onboarding. Say that plainly to stakeholders who want absolute assurance.

Escalation
